Cancellations & Refunds Policy

Last updated: 11 Nov 2025

At One Moment Travel, we work with global suppliers, hotels, airlines, and destination partners to curate personalized trips. Because each itinerary is custom-designed, cancellation and refund terms may vary by service provider. This policy explains how cancellations are handled across our platform.

1. General Cancellation Rules

  • All cancellations must be requested in writing via email or WhatsApp on your official trip thread.
  • Cancellation charges are based on the rules of airlines, hotels, DMCs, activity providers, and visa authorities.
  • Our service fees are non-refundable once work has begun on your itinerary.

2. Flights

  • Flight cancellations and refunds strictly follow the airline's fare rules.
  • Some fares may be non-refundable; some may allow partial refunds after deducting airline penalties.
  • Rescheduling may involve fare differences and change fees.

3. Hotels & Stays

  • Each hotel has its own cancellation window (ranging from flexible to 100% non-refundable).
  • Refund amounts depend on the hotel's policy at the time of booking.
  • No-show bookings are fully chargeable.

4. Activities, Tours & Transfers

  • Refunds depend on the supplier's policy. Many activities are non-refundable within 24–72 hours of the service date.
  • Private transfers and custom tours may carry full charges once confirmed.

5. Visas

  • Visa fees are non-refundable, regardless of approval or rejection.
  • Service fees for visa assistance are also non-refundable.

6. One Moment Service Fees

These include trip design fees, consultation charges, itinerary planning fees, and concierge support fees.

These fees are non-refundable once the project starts, as they cover time, research, and coordination already done.

7. Refund Timeline

  • Refunds (if applicable) are processed within 7–14 working days after receiving the refund from the supplier/airline.
  • Refund mode will be the original payment method or bank transfer.

8. Force Majeure

One Moment Travel is not responsible for delays, cancellations, or losses caused by events beyond control (weather, strikes, political situations, natural disasters, etc.). Refunds follow supplier policies only.

If you need clarity on any cancellation rule before booking, feel free to ask, we're here to help.
